SUBJECT: Invitation to submit a bid

 

The client, the Public Institution of Culture Croatian House Split, Split, Tončićeva 1, is conducting a bid collection procedure for the sound system, stage lighting and stage for the 1100th anniversary of the coronation of King Tomislav.

In accordance with Article 12, Paragraph 1, Item 1 of the Public Procurement Act, for the procurement of goods and services with an estimated value of up to €26.544,56 and works with an estimated value of up to €66.361,40 excluding VAT, the contracting authority is not obliged to carry out the public procurement procedure prescribed by the Act.

  1. DESCRIPTION OF THE PROCUREMENT SUBJECT

 

4.1. SUBJECT OF PROCUREMENT

Subject of supply:

  1. The sound system for the dress rehearsal on 24.05.2025 and the concert on 25.05.2025, includes all necessary supporting material and microphones with accessories. It is necessary to provide 6 monitors for the needs of monitoring the choir, soloists and orchestra. It is necessary to provide 2 microphones for the needs of conferences.
  2. Stage lighting for the dress rehearsal on May 24.05.2025, 25.05.2025 and the concert on May XNUMX, XNUMX, includes all necessary materials and ramps/supports for lighting fixtures.
  3. Stage dimensions 12 x 10 meters with stage platforms (practical) according to the attached plan.
  4. Transport, installation and removal from the HNK Split warehouse to the Peristil and return to the HNK Split warehouse.

 

4.2. ESTIMATED PROCUREMENT VALUE

12.500,00 euros excluding VAT.

4.3. QUANTITY AND SCOPE OF THE SUBJECT OF PROCUREMENT

The estimated quantities of the procurement items are stated in the Bill of Quantities, which is an integral part of this Invitation to Tender. The actual quantity of the procurement items purchased may be greater or less than the estimated quantity.

The Bidder may only submit a bid for the entire quantity from the Bill of Quantities. Bids for only part of the requested quantity from the Bill of Quantities will not be considered.

  1. The sound system for the dress rehearsal on 24.05.2025 and the concert on 25.05.2025, includes all necessary supporting material and microphones with accessories. It is necessary to provide 6 monitors for the needs of monitoring the choir, soloists and orchestra. It is necessary to provide 2 microphones for the needs of conferences.
  2. Stage lighting for the dress rehearsal on May 24.05.2025, 25.05.2025 and the concert on May XNUMX, XNUMX, includes all necessary materials and ramps/supports for lighting fixtures.
  3. Stage dimensions 12 x 10 meters with stage platforms (practical) according to the attached plan.
  4. Transport and installation and removal from the HNK Split warehouse to the Peristil and return to the HNK Split warehouse:

- 418 auditorium seats

- 20 protective fences

- 52 orchestra chairs

- 30 music stands

- Music stand lights

- Conductor's podium and desk

- 3 double bass chairs

- 1 piano stool

- 1 Timpanist's chair

 

Conditions:

The sound system must be sized for even sound coverage of the Peristyle auditorium, volume 96 dB(A), maximum peak permitted volume >104 dB(A).

The sound system is designed in such a way that the orchestra is not sounded, the choir of 45 members and 4 soloists are sounded in such a way that the ideal sound ratio of the orchestra, choir and soloists is achieved in the auditorium.

The bidder is required to submit references from sound engineers with a list of similar projects completed in the last 2 years.

Acceptable sound system and monitoring manufacturers: L-Acoustics, D&B, Meyer Sound.

Acceptable manufacturers for digital audio mixer: Digico, Yamaha, Midas, Soundcraft

Partial bids will not be taken into account; the bidder is required to submit a single bid for all requested items.

Installation of the above equipment on 23.05.2025 from 17 pm to 6 am on 24.05.2025

Dress rehearsal on May 24.05.2025, 20 at XNUMX p.m., after the wedding ceremony at the Cathedral of St. Duje.

Concert on May 25.05, 2025 at 20pm, after the end of the mass in the Cathedral of St. Duje

Dismantling of equipment immediately after the concert ends

  1. PAYMENT DEADLINE, METHOD AND TERMS

The Client will make payment to the account of the selected bidder based on the issued e-Invoice (in accordance with the Act on Electronic Invoicing in Public Procurement), within 30 days of the issuance of the e-Invoice.

 

  1. METHOD OF DETERMINING THE BID PRICE

The bid price must be expressed in euros.

The bidder is obliged to submit a complete cost estimate with unit prices excluding VAT.

The bid price is written in numbers.

The offer price excluding VAT must include all costs and discounts.

 

  1. BID SELECTION CRITERIA

Lowest price.

 

  1. LANGUAGE AND LETTER OF OFFER

The offer is made in the Croatian language and Latin script.

 

  1. OFFER VALIDITY PERIOD

3 months from the deadline for submitting the bid.

 

  1. METHOD OF BID DELIVERY

The bid shall be submitted in original paper form in a sealed envelope to the contracting authority's address specified in the tender documentation. The bid envelope must indicate:

- name and address of the ordering party,

- name and address of the bidder

- procurement registration number (2/25)

- name of the procurement subject to which the offer relates: "Offer for a sound system, stage lighting and stage for the 1100th anniversary of the coronation of King Tomislav"

- "do not open" sign.

 

The offer must contain a bid sheet and cost estimates, all signed by an authorized person of the offeror and certified with a seal.

Bids are submitted by mail or in person at the Contracting Authority's Secretariat at the following address:
